Employee Collaboration Features

Are you considering Microsoft Exchange because your company has grown to a point that impromptu meeting scheduling has become too difficult? Are you already paying for the biannual upgrades and ongoing maintenance costs for an Exchange server? The NetSuite Suite of products employee scheduling and collaboration tools are a better and more cost-effective alternative. Our tools offer more performance while your cost to maintain them is virtually nil. Since our system is Web based, we take care of all the maintenance for you at our data center. There's no need for you to hire an IT person to take care of it all.

Since our tools synchronize with Outlook, you can still use it if you prefer. In fact, our tools also synch with any handheld device like Palm's or the RIM Blackberry, so you can get your information while you're out of the office. Again, because the NetSuite Suite of products is a Web-based system, you can log in from any computer, anywhere in the world. When you do, you have all the same full functions that you enjoy when you're sitting at your computer in your office — not a watered-down Web version of a desktop application.

Here are our employee scheduling and collaboration tools:

Calendaring

Now you can book meetings when you know everyone is available and include the conference room or other equipment. Every time you add a person or resource, you see whether there is a booking conflict, so you can adjust your meeting to find a time when everyone is free.

You can also create recurring meetings: weekly, monthly, every other day-whatever you choose. As soon as you enter the meeting, invitations are e-mailed.

When people accept your invitation, the meeting is automatically displayed in their calendar. And they can't forget it, because their calendar is shown on their dashboard which is the first thing they see when they log in!

To find out more about the dashboard, see our Reporting overview.

Contacts

You can store all your contact records in the NetSuite Suite of products and define which ones are personal, just for you to see, and which ones are business contacts, for everyone in the company to see. The integrated nature of our system gives you the advantage of universal, up-to-date information. For example, if a sales rep finds out that one of the business contacts has changed her phone number, changing it on his computer makes the change for everyone. The next time you need to call her, you see the new number. No wasted time hearing "That number you have dialed in no longer in service" and no searching for the new number.

Tasks

So you don't forget anything, the NetSuite Suite of products helps you to set tasks for yourself with due dates. Like meetings, these tasks are also displayed when you first log in so you have ongoing reminders. You can also assign tasks to other people and track their progress. When they log in, they're reminded not only of their own tasks but also the ones they owe you and when their deadlines are.

File Cabinet

In the file cabinet, you can set up shared folders for files in Word, Excel, PowerPoint, and more. For each folder, you can specify who in your company has access. For example, HR can store confidential performance reviews in their folders while Engineering stores confidential specifications in their folders.

Anyone who has access to the folder can just view its documents online or download them, edit them, and upload the revised versions.
This way, everyone always has the most recent file without having to send huge documents via e-mail.

Storing these documents online rather than on your computer also means that you and anyone with access rights can work on them from a home computer, another office location or even a hotel when traveling. The security of the NetSuite Suite of products is safer than e-mail, and the file cabinet even automatically logs when the file is modified and by whom.

To learn more about our built-in security features, see our Security and Performance overview.

You can even attach files stored in the file cabinet to other records in the system. For example, a business developer might store all partner agreements in one folder for easy comparison and review. Also, each partner's agreement is attached to that partner's record. Other employees in the firm can read that agreement whenever they look at the partner's record without having to go to a separate location. If the developer updates an agreement in the file cabinet, the partner's record is automatically updated too.
